The Role

Reporting to the Senior Manager, Philanthropy, Donor Relations Officer is responsible for supporting the implementation of the donor relations program. The focus of this role is to communicate the impact of philanthropy at BC Women’s Health Foundation in a way that makes donors feel passionate and joyful about investing in women’s healthcare – ultimately supporting the strategic fundraisings goals of BC Women’s Health Foundation.

The position will support the fundraising streams of the organization ensuring appropriate donor cultivation, stewardship, recognition, and acknowledgement programs and processes are in place. On a day-to-day basis, the Donor Relations Officer will work independently to help oversee and support donor relations events, accountability newsletters, stewardship reports, thank you calls, hospital recognition (donor walls) and other activities within the allocated budgets. With excellent writing skills, the ability to tell a compelling story, and an attention to detail, the incumbent will manage all aspects of the projects, including timelines, logistics, and vendor relationships to ensure all requirements are achieved. Additionally, the Donor Relations Officer will provide leadership in recommending better, more effective ways to implement cultivation, stewardship, recognition activities, and stewardship metrics.

Specific Accountabilities

Writing + Communications

  • Develop, write, and edit effective, persuasive, and imaginative communications for donor relations materials such as, but not limited to: accountability newsletters, stewardship reports, donor recognition plaques, thank you letters, invitations, digital copy for initiatives;
  • When appropriate, conduct photo collection through photo shoots and interviews with donors, past patients, healthcare professionals and/or researchers for stewardship reports (gift impact) stories and other writing needs. This individual will also manage the timelines, logistics, and internal tracking of all materials;
  • Ability to translate scientific ideas, aspirational needs, theoretical models of care, and/ or research concepts into compelling donor communications; and
  • Oversee and manage the hospital art program.

Donor Cultivation, Stewardship + Recognition

  • Create and maintain innovative programs and projects to thank and steward donors, identifying creative and effective opportunities to recognize the impact of corporate and individual support;
  • Oversee and manage donor relations activities, including, but not limited to: thank you program (letters, cards & phone calls), digital marketing recognition, Donor Impact bi-annual newsletters and Spring Impact Report;
  • Support efforts to plan and implement donor relations event components to appropriately recognize and steward donors of the Foundation, including: donor ceremonies, cheque presentations, planned giving events, in-person and virtual tours, cultivation luncheons and dinners, campaign related donor events, and other special events;
  • Ability to record and edit quality production video using online video sharing and services platform;
  • Track all donor relations and stewardship activities in Raiser’s Edge database;
  • Proactively manage donor issues in a timely manner to demonstrate exceptional customer service and identifying mutually beneficial solutions;
  • Support the recruitment and management of volunteers; and
  • Manage and track the financial and accounting activities (e.g. budgets, invoicing, contracting) of donor relations to report up to the Senior Manager, Philanthropy.

Database Maintenance

  • Intermediate experience with using Raiser’s Edge donor database (e.g. updating and maintaining donor or prospect records);
  • Ensures that accuracy and integrity of database is maintained; and
  • Creates basic reports and retrieves general information as required.

  • Build relationships with volunteers, others throughout the Hospital, suppliers, sponsors and donors in a professional and supportive manner;
  • Works closely and communicates effectively and respectfully with other Foundation team members across the organization;
  • Support all Fundraising team members by willingly providing support as appropriate and as needed. Willingly accepts changing priorities, and when needed, alternates between tasks and projects in response;
  • Prioritizes work effectively and manages time efficiently, updating manager on workflow or other issues, as appropriate;
  • Ensures exemplary demonstration of the Foundation’s core values of strength, innovation, collaboration, integrity, and inclusivity;
  • Works independently under minimal supervision;
  • Actively supports Reconciliation, Equity, Diversity + Inclusion (REDI) efforts of the Foundation, participate in inclusivity initiatives, demonstrating respect for differences through words and actions; seeks different perspectives when creating solutions;
  • As a member of the Foundation team, Donor Relations Officer is also expected to participate in the Foundation’s Signature Events, or other key events in which all staff are expected to play a role; and
  • Performs other duties as assigned by the Senior Manager, Philanthropy, consistent with the scope of the role.


  • Administer tribute donations;
  • Oversee production and execution of welcome packages for new donors;
  • Oversee production and maintenance of grateful patient/hospital brochures and postpartum booklets; and
  • Support administration needs of direct marketing activities as required.


Education and Experience

  • Undergraduate degree or related post-secondary diploma or equivalent combination of education, training and experience in communications, marketing and/or journalism;
  • 5 years’ experience, ideally in a similar role in a not-for-profit fundraising environment;
  • Highly developed project management and event planning skills;
  • Excellent customer service focus and quality management experience;
  • Demonstrated ability to build effective relationships; and
  • Understanding of the fundraising cycle and experience in donor relations and accountability are a definite asset.

  • Preferred proficiency with donor database systems (e.g., Raiser’s Edge), Adobe Acrobat and Microsoft Office Suite of programs.

Condition of Employment

  • As a condition of working at the Hospital, you must pass certain background checks under the standards set by the Provincial Health Services Authority (the “PHSA”) including an initial and recurrent criminal records check(s) and an immunization check
